What we keep,
and why.

The Southeast New Brunswick Badminton Club is a volunteer club, not a company. We hold the smallest amount of information that lets us run game nights, and we do not sell, rent or share any of it. This page says exactly what we have and what it is for.

What is in your account

You give us these when you sign up, and you can change any of them from your account page.

Name: So organizers and the people you play with know who is on the court. Your name and photo are visible to other signed-in members.
Email: To confirm your account, reset your password, and tell you when a session opens for your group.
Password: Stored only as a one-way hash. Nobody at the club can read it, including us.
Phone: So an organizer can reach you about a session at short notice. Visible to organizers only.
Date of birth: To place you in the right age category for club play, and so the club can wish you a happy birthday.
Postal code: To understand roughly where members travel from when choosing venues and times. We never store your street address.
Years playing and skill: To build balanced games. Organizers may record their own rating alongside your self-rating.
Photo: Optional. It helps people recognise each other on a busy night. You can remove it at any time.

What the club records as you play

Bookings: Which sessions you booked, cancelled or were wait-listed for, and when. This is how spots are allocated fairly and how the club knows who to expect.
Attendance: Whether you showed up. Repeated no-shows are recorded because a held spot is a spot somebody else could not have.
Games: Who played with whom on which court, used to vary partners and keep games even.
Nice notes: The short appreciation tags members leave for each other. These are anonymous by design: the person receiving them cannot see who left them, and neither can organizers.
Membership fees: Whether a season has been paid, entered by hand by an organizer. Fees are collected in person, so the club never sees or stores card or banking details.

Email we send you

There are two kinds, and you control one of them.

Session email: an invitation when a session opens for your group, and a note if one you booked is cancelled or if you come off the waitlist. Every invitation has a one-click link at the bottom to stop them. Turning them off changes nothing else: you can still see and book every session from your dashboard.
Account email: confirming your address, resetting your password, or signing you in by link. These are the emails that let you into your own account, so there is no way to switch them off while the account exists.

We do not send marketing, and your address is never passed to anyone else. If an email to you keeps failing, the club stops sending to that address until it is fixed, so a broken address does not quietly pile up bounces.

Who can see what

Other members: Your name, photo, skill level and whether you are booked into a session. Signed-in members only, never the public web.
Organizers: Everything in your account, including email, phone and attendance history, because that is what running the nights takes.
The public: Nothing. No part of the members area is visible without an account.
Anyone else: Nobody. We do not sell, rent, trade or share member information, and we never will.

Cookies and tracking

The site sets two cookies, both strictly functional: one that keeps you signed in for the current visit, and one that remembers you on your own device if you ask it to. There is no advertising, no analytics, no tracking pixels and no third-party scripts anywhere on this site.

The one exception is the map on the front page, which is embedded from Google Maps and is subject to Google's own privacy policy. If you would rather not load it, the address is written out beside it in plain text.

How long we keep it

Your account stays as long as you want it. Booking and attendance history is kept while you are a member so the club can allocate spots fairly, and it goes when your account goes.

Ask us to delete your account and we will remove it, along with your bookings, your photo and your history. Notes you left for other people stay on their boards, because they were anonymous when you wrote them and removing them would identify you.
